Planning

Content calendar software

The calendar should make conflicts visible: two posts on the same query, a launch with nothing ready, a week that is empty on purpose.

Teams open a calendar and feel guilty about the gaps. The gaps are often the honest part. A week with no article is fine when the last one is still being edited, or when you have nothing new that the site should be known for.

Content calendar software earns its place when it shows the future as dates and the past as published URLs, on the same month. You can see that Thursday already has a post, that a planned title is still only a title, and that three "ultimate guides" are stacked on queries you already rank for.

A slot is not an article

A slot

A date you intend to publish, with a subject and a keyword. Nothing has been written. The slot exists so two people do not book the same day, and so a topic is not forgotten.

An article

A draft or a live URL with a real title. It occupies the day it will go out, or the day it went out. Moving it is an editorial decision, not a drag for the sake of a full grid.

Plan the month from the pages that make money

Start from the service pages, the product jobs, and the queries you are tracking. Each planned post should name the URL it is meant to support. If you cannot name it, the idea is a topic, not a plan, and it can wait.

Put seasonal pieces on the calendar with an owner and an end. A gift guide that is still scheduled in March is how last year's advice keeps ranking. The calendar is also the place you remove things.

What a full calendar usually means

  • Someone is measuring output instead of queries covered.
  • Drafts will be generated to fill a day, and the brief will be whatever fits.
  • Review time was not scheduled, so publish day becomes skim day.

Keep the review on the same board as the date

A planned post, a draft in review, and a published post should be distinguishable without opening each one. Color is enough. Status is the point. A calendar that only shows titles hides whether Thursday's piece has been read.

Automatic generation can fill a slot you already approved. It should not invent next month's subjects because the grid looked sparse.
